Privacy Policy
This policy is written for candidate clinicians, app-store reviewers and support users who need clear information about data boundaries.
1. Summary
This Privacy Policy explains how AMC ClinicalPro handles information across the website, mobile apps, support channels and related services. AMC ClinicalPro is designed as an independent education and preparation product for AMC Part 2 candidates. It is not a patient-care system, official assessment system, clinical record system, emergency service or Australian Medical Council service.
2. Scope and product boundaries
This policy applies to the public website, mobile apps, account and access surfaces, practice sessions, AI-supported features, reading and replay features, analytics, leaderboard surfaces, support channels and related services. Users must not enter real patient records, identifiable patient information, emergency information or unnecessary sensitive clinical information unless explicitly requested through an approved privacy or support process.
3. Information we may collect
Information may include account and profile details, authentication identifiers, device and app identifiers, subscription or entitlement status, plan/access status, practice activity, station selections, reading activity, Session Notes, transcripts, simulated patient replies, AI guidance, Session Results, replay metadata, leaderboard display details, post-feedback ratings, support tickets, contact form data, app version, platform, request IDs, diagnostics, crash metadata and website usage data.
4. Voice, speech-to-text and replay
Candidate speech-to-text is handled on device in the mobile app. Raw candidate voice is not sent off device for transcription, scoring, analytics or AI processing. Candidate replay may use device text-to-speech generated from transcript text. System-generated simulated-patient audio may be stored or replayed where enabled.
5. AI processing
AI features may process relevant practice context such as station settings, role-player context, conversation history, transcript excerpts, Session Notes, candidate prompts, support metadata or request metadata to generate simulated patient replies, preparation guidance, Session Results and review support. AI output may be inaccurate, incomplete, delayed, inconsistent, outdated or unsuitable. AI output is educational preparation support only and must not be treated as medical advice, official AMC scoring, registration advice, migration advice, employment advice or a substitute for professional judgement.
6. AI model improvement and training
Where supported by provider settings and product configuration, AMC ClinicalPro aims to limit use of practice content to providing, securing, supporting and improving the service. Practice content should not be treated as permission for users or third parties to reproduce protected AMC material, copyrighted handbook text, course material, patient records or third-party content. If any future model-training, fine-tuning, human review or research use is introduced beyond operational service improvement, AMC ClinicalPro should update this policy and obtain any consent required by law or platform policy.
7. Content, cases and copyrighted material
AMC ClinicalPro is intended to use original, fictional, public-domain, publicly available, licensed or otherwise authorised educational content. Content may be developed from original authoring, clinical education expertise, publicly available medical knowledge, common examination-preparation concepts, lawful references, user feedback, AI-assisted drafting and editorial review. Because many medical facts, communication frameworks, diagnoses, management principles, counselling steps and station themes are widely taught, incidental similarity in ideas, facts, structure, terminology or topic coverage may occur. Users must not submit, upload, paste, request reproduction of, or attempt to process protected official AMC cases, copyrighted handbook text, paid course material, third-party readings, real patient records or other content they do not have permission or another lawful basis to use. AMC ClinicalPro may remove, restrict, revise or investigate content where copyright, privacy, safety, platform-policy or legal concerns arise.
8. How information is used
Information may be used to create and secure accounts, authenticate users, provide practice stations, generate AI-supported simulated patient replies, provide guidance and Session Results, save Session Notes and replay context, manage access and subscriptions, provide support, investigate bugs or reported replies, improve reliability and safety, prevent misuse, comply with legal obligations, maintain records, enforce terms and understand product performance.
9. Analytics, crash reporting and diagnostics
Clinical payload text is not used for analytics or crash custom keys. Telemetry should focus on metadata needed for reliability, support, safety and product performance.
10. Payments, subscriptions and app stores
AMC ClinicalPro may receive or process subscription entitlement status, product identifiers, renewal status, transaction references, store account metadata or purchase validation data from Apple App Store, Google Play or subscription infrastructure. AMC ClinicalPro does not need full payment card details when purchases are handled by app stores. Refunds, cancellations and billing controls may be managed by Apple, Google or the relevant payment provider according to their rules.
11. Leaderboard, analytics and progress features
Leaderboard and analytics features may use practice counts, streaks, scores, Session Results, pass/fail-style practice outcomes, cohort eligibility, display names, avatars or other progress metadata. These features are intended for preparation context only and are not official AMC performance records. Users should avoid using identifying patient information or sensitive personal details in display names, profile images or public-facing fields.
12. Third-party processors and cross-border processing
AMC ClinicalPro may use third-party providers for cloud hosting, storage, authentication, databases, serverless APIs, AI model processing, text-to-speech, app distribution, app-store payments, analytics, crash reporting, email, support and security monitoring. This may include AWS services such as Cognito, API Gateway, Lambda, DynamoDB, S3, CloudFront, Bedrock, Polly and CloudWatch, as well as Apple, Google and other operational providers. Processing may occur in Australia or overseas depending on provider infrastructure, model availability, routing, support needs and user location.
13. Retention
AMC ClinicalPro keeps information only for as long as reasonably needed for the purposes described in this policy, unless a longer period is required or permitted for security, fraud prevention, accounting, legal, dispute, backup, audit, app-store, tax or compliance reasons. Account data may be kept while an account is active; practice sessions, transcripts, notes, replay metadata and Session Results may be kept while needed for app features and user history; support tickets may be kept for support continuity and dispute handling; logs and diagnostics are generally kept for shorter operational periods; backups may persist for a limited period before rotation or deletion.
14. Access, correction, deletion, export and complaints
Users may contact support@amcclinicalpro.com.au to request access, correction, deletion, export or privacy assistance. AMC ClinicalPro may need to verify identity before acting on a request. Some information may be retained where required or permitted for security, fraud prevention, accounting, legal, dispute, backup, audit, app-store, tax or compliance reasons. Deleting the app does not automatically delete an account or cancel an app-store subscription.
15. Security measures
AMC ClinicalPro uses reasonable technical and organisational measures to protect information, such as HTTPS transport, cloud provider access controls, authentication, private storage where appropriate, least-privilege operational access, logging, monitoring, backup practices, security review and separation between clinical payload text and analytics/crash custom keys. No internet, cloud, mobile or AI system is risk free, and AMC ClinicalPro cannot guarantee that unauthorised access, loss, misuse, outage or error will never occur.
16. Data breach handling
Suspected privacy or security incidents will be assessed according to applicable legal requirements. Where a notifiable or eligible data breach occurs, AMC ClinicalPro will take reasonable steps to contain and investigate the issue, reduce harm, notify affected users or regulators where required, and improve controls where appropriate.
17. Children and adult users
AMC ClinicalPro is intended for adult medical graduates, doctors and candidate clinicians preparing for professional examinations. It is not directed to children, and children should not create accounts or submit personal information. Users who are under the age required to consent to digital services in their location must not use AMC ClinicalPro unless a parent, guardian or other lawful authority has validly consented and accepted responsibility where permitted by law. If we learn that a child or otherwise ineligible person has created a profile or provided personal information without appropriate authority, we will take reasonable steps to restrict the account and delete or de-identify the profile and associated personal information where required and technically possible. We may retain limited records where needed for security, fraud prevention, legal, dispute, audit, backup, compliance or platform-policy reasons.
18. Communications, cookies and website analytics
AMC ClinicalPro may use email or support communications to respond to enquiries, provide service notices, manage privacy requests, support access discussions or send product updates where permitted. The website may use basic cookies, hosting logs or privacy-conscious analytics to understand site performance, abuse patterns and page usage. Users may be able to control cookies through browser settings, but some site or security features may not work as intended if cookies or storage are disabled.
19. Regional privacy rights
Depending on location, users may have privacy rights under Australian privacy law or other regional laws, such as rights to request access, correction, deletion, portability, objection, restriction, complaint handling or regulator review. AMC ClinicalPro will respond to valid requests as required by applicable law, while preserving mandatory records and legal defences where permitted.
20. Responsibility and legal limits
Users remain responsible for what they submit, how they interpret educational outputs and how they use official AMC, clinical, professional, migration or employment information. To the maximum extent permitted by law, AMC ClinicalPro is not responsible for user-submitted unlawful content, user misuse, AI inaccuracies, unsupported reliance on education-only outputs, exam outcomes, career outcomes, registration outcomes, migration outcomes, third-party service failures, indirect loss or consequences outside AMC ClinicalPro's reasonable control. Nothing in this policy excludes non-excludable rights, privacy obligations, consumer guarantees or remedies that cannot lawfully be excluded.
21. Changes to this policy
AMC ClinicalPro may update this Privacy Policy as the product, legal requirements, providers, app-store requirements or data practices change. Material changes should be reflected on this page and, where required, notified through the app, website, email or another reasonable channel.
